 Venues and Companies Officer

Roles and responsibilities

The successful candidate will perform a wide range of duties, including but not limited to:

Providing a first point of call for enquires about bringing a show to the Fringe or running a venue.
Providing help, advice and support to participants in person, by email and on the phone.
Responding to specific questions and comments from participants about the Fringe and Fringe Society services.
Maintaining and updating the venues registration information and database
Supporting the Fringe Society in reducing its environmental impacts
Assisting the box office and programme production team in collating access and other information for venues
Assisting the sponsorship and marketing team with delivery, tracking, and replacement of all venue boards.
Supporting companies in visa applications
Contributing to the existing services provided to participants, in conjunction with other staff and departments as appropriate and continuing to support and enhance these services.
Supporting artists involved in Fringe Society events as and when required.
Supporting the project management of community investment initiatives as and when required.
Supporting networking, professional development and advice sessions provided by the Fringe Society during the festival.
Assisting with the preparation and running of Fringe Central as and when necessary.
Any other duties which may be required by your line manager.

Media Manager

Roles and responsibilities

The successful candidate will perform a wide range of duties, including but not limited to:

Managing the media office including the recruitment and line management of team members.
Providing comprehensive support and advice for Fringe performers on how to maximise media coverage and marketing for their shows. This will include:
Arranging one to one sessions with performers before and during the Fringe.
Arranging and managing two How to Sell Your Show events during the Fringe.
Working with the head of external affairs to arrange and manage the Meet the Media event at the start of the Fringe.
Providing a range of services to the visiting media up to and during the Fringe.
This will include:
Implementing and maintaining a robust accreditation system for media.
Overseeing the media ticket request process.
Assisting the media with their programme related enquiries.
Working with the head of external affairs to create an efficient media interview request process and assist the chief executive and other team members with preparation and execution of media interviews.
Drafting news releases and speeches for the Edinburgh Festival Fringe Society as requested.
Working with the head of external affairs in organising the media launch event and media photo opportunity for the June programme launch.
Overseeing the production of the Festival Fringe Society daily media digest, including an end of festival log.
Working with the relevant team members on the seasonal social media strategy.
Any other tasks as required by the head of external affairs.

Personal specification

Essential

Experience of recruiting and line managing a busy team.
Knowledge and understanding of the Edinburgh Festival Fringe and the role the Festival Fringe Society plays within it.
Experience or understanding on how to sell a show at the Edinburgh Festival Fringe, utilising innovative methods to stand out from the crowd.
A high level of writing skill with experience in drafting news releases as well as other forms of written communication.
An understanding of the arts media landscape.
An established network of relevant media contacts.
The ability to network and gain the trust of individual journalists.
Knowledge and understanding of all media platforms including print media, broadcasting and social media networks.

Salary and benefits

The salary for this post is £400 per week. 28 days holiday per year pro rata.

Working hours are 10:00 - 18:00 five days a week increasing to six during the festival season. Some additional evening and weekend work may be required, particularly in the run-up to and during the festival period. There is no overtime entitlement, but the Society does maintain a TOIL policy.

Programme Production Assistant (Temporary Role X 5)

Roles and responsibilities

The successful candidate will perform a wide range of duties, including but not limited to:

Assisting with show registration and the production of the Edinburgh Festival Fringe Programme and preparing materials for edfringe.com.
Checking and editing data electronically submitted for content of programme and for edfringe.com.
Offering assistance to groups submitting their show registration form, communicating by phone, email and in person.
Troubleshooting problems as they occur.
Contacting groups and venues regarding missing information and queries.
Proof reading programme and web data.
Ensuring the production timetable is met for successful publication of programme for launch date.
Taking responsibility for logging and communicating any information vital to the programme production and show registration process.

Working along side the publications manager and other typesetters to typeset the Edinburgh Festival Fringe programme
Assist in the production of in-house advertisements, posters and other materials

Author Logistics Officer

Salary: £6.50 per hour

Box Office Manager

Temporary contract, 17 April – 14 September 2012
Rate of pay: in the region of £85/day, subject to experience

Edinburgh International Book Festival is seeking an experienced, highly-organised and energetic Box Office Manager to oversee the smooth running of a complex and challenging festival box office operation. Key responsibilities include staff recruitment and training, administration of ticketing software, reporting on ticket sales and banking, planning and managing the daily operations of a split-site temporary box office and providing excellent customer care. The role demands experience at management level preferably in a festival or similar box office environment, a flexible attitude, calm manner and the ability to multi-task and problem-solve under pressure.

Fundraising Manager (Maternity Cover, fixed term contract until mid-April 2013)

Edinburgh International Science Festival is looking to recruit an extraordinary Fundraising Manager to head up our small team. You must have proved your ability to develop a fundraising strategy and successfully deliver income against challenging targets. You need to be able to think creatively about matching funding to programming. You will be passionate about the aims of the organisation and should be aware of the current educational, scientific and technological issues that we address. Salary £30,000 - £32,000

Event Managers

Event Managers will be responsible for the smooth running of all Edinburgh International Science Festival Events taking place within their allocated venue. Event Managers will act as a representative for the Science Festival within the venue for all customers, venue contacts and relevant performers/speakers. All Science Festival staff including volunteers on-site will report to the Event Manager. Event Managers will take full responsibility for the ensuring the needs of performers/speakers in their venue are met and will oversee all technical aspects of staging events.

We are looking for efficient and organised individuals who are able to work effectively and confidently unsupervised. Excellent customer service skills and some technical knowledge of event/venue management are essential requirements for the post. Some technical experience with AV equipment or technicians would be advantageous.

Main responsibilities:
- Coordinating all events taking place within allocated venue
- Responsible for line managing all EISF staff on shift
- Coordinating all breaks, lunches and shift changes for staff
- Liaising with venue and AV staff on setup and access times
- Ensure correct AV and stage setup at venue
- Greet speakers, chairs and guests and brief them on outline of event
- Main point of contact for general enquires from participants and audience
- Deal with any issues arising with speakers, chairs, guests or audience members
- Liaise with Box Office and Front of House staff on late arrivals policy
- Ensure familiarity with first aid, fire evac and health and safety procedures at venue
- Ensure prompt clearing of auditorium at the end of events
- Ensure good directional signage at the venue
- Ensure sponsorship signage is put up in accordance with the agreements
- Assist audience members that have additional access needs
- Ensuring a high level of customer service is maintained, and being responsive and aware of the needs of visitors and colleagues

Front of House Supervisor

Overview:
We are looking for effective individuals with the ability to confidently supervise front of house teams and provide support to Event Managers within Edinburgh Science Festival Venues. These teams will vary in size and may be comprised of both paid front of house personnel and voluntary support. Previous experience in a front of house environment is extremely desirable.

Main responsibilities:
- Front of House Duties: may include, but are not limited to, checking tickets and greeting the public at venue entrances, queue management, providing information and assistance to the public, cloakroom work, closing shows and liaising closely with the box office team.
- Undertaking other tasks as necessary to ensure the sound running of both box office and front of house at events in the 2012 Festival
- Event Staging: Assisting with event staging, setting up and assisting with AV equipment, running microphones and other duties associated with delivering shows/talks.
- Supervisory Duties: Supervision of all members of venue front of house team both paid and voluntary support (where applicable). Responsibilities will include signing staff in and out on shift, briefing all front of house staff (where required), managing breaks and cover for lunch and absences where possible, allocating duties to team members on shift, rotating staff where necessary and collecting timesheets from team members to pass on to Festival Staff Manager. Management Support: The post holder will assist the Event/Venue Manager in ensuring a high level of customer service is maintained, and will be responsive and aware of the needs of visitors and colleagues. They will act as the main liaison point with Box Office Staff for EISF. The post holder will elevate any issues arising from Front of House to the Event/Venue Manager where necessary.
- Familiarity with the Science Festival programme of events is essential

Front of House Team

Front of House staff members are a vital part of the team at the Edinburgh International Science Festival. Working at one of our various venues will involve a great deal of interaction with our customers attending family or adult events who have a wide range of requests and needs. We are looking for friendly, organised and reliable staff with excellent customer service skills.Our Front of House staff members are responsible for providing Front of House assistance at different events across the city. They also provide customer support and help children prepare for activities, (where necessary) as well as ensure the smooth running of events.

Main responsibilities:
